Rental Policy


Check-in / Check-Out Times

Check-in time is 4:00 PM Central; Check-out time is 10:00 AM Central. Door locks are time activated; plan your travel acordingly. During Peak seasons not all units may be ready for check-in promptly at 4:00 PM Central. We encourage guest to have alternate plans, especially if you have infants, special needs, expecting mother, or elderly accompanying guest. Your patience is greatly appreciated.

Check Out is 10:00 A.M Central. Please leave on time so that the unit may be prepared for our next guests.

Late Arrival

Guests arriving after 4:00 P.M. or on a major holiday should contact the office prior to arrival regarding check-in procedures if you do not have you Confirmation Email explaining check-in procedures.

Early Check-in / Late Check-out Requests

With prior scheduling, early check-in and/or late check-out may be available with an additional $50.00 fee which is used to employ supplementary cleaning services. The additional fee is $100 for large condos and detached houses. Your early check-in time will then be 1:00 PM Central and your late check-out time will be 12:00 PM Central. As there are a limited number of these requests that can be accommodated, you will need to make your arrangements for early check-in or late check-out several weeks prior to your arrival date.

Lost and Found

Lost and found items will be stored at our office for up to 30 days. Reasonable attempts will be made to contact the guest to reclaim their lost Electronic items and prescriptions. If you leave an item behind please notify us of it so we may make an attempt to recove it. Guest must satisfactorily identify the item before return instructions are given. Hazardous, perishables, and personal care items are discarded. All other items, if not claimed in a timely manner, will be discarded, provided to the Police or Sheriff’s Department, or donated to charity, as appropriate.

Advance Reservation

Reservations are accepted up to one year in advance.

Age Restricted Condos & Resorts

With the exception of a few units; most of our properties are 25+. We have a few properties that permit 18 – 24 year old guest with the understanding that there will be a $500 Refundable Damage Deposit added to the rental.

Reservations made for twenty-five and over properties by under twenty-five year old guests will not be honored without an accompanying parent or guardian. This means that at least one member of the party must be twenty-five years of age or older and must occupy the rental property the entire term of the reservation. Any reservation made under false pretenses will be subject to eviction and forfeiture of deposit and/or rental monies paid according to Florida Statute 509-141.

Minimum Stay Requirements

All seasonal rentals require a minimum advance reservation. Most properties have a 3 night minimum and others a 4 night minimum. We have a few properties that have a 7 night minimum. If you require a shorter stay, please call to ask for availability and rate.

Maximum Occupancy

The maximum number of guests per unit is based on the individual unit’s ability to comfortably and safely accommodate our guests. If maximum occupancy is exceeded, you may be asked to vacate the property and forfeit any rental payments.

Reservation Down Payments

A minimum down payment of $500 is required at the time of booking a reservation. The down payment will be applied toward the total rent due. Payment is to be made in the form of eCheck, VISA, Master Card, or Discover. The down payment IS NOT a Damage Deposit & NOT Refundable.

Rental Payment

The Balance is due in full forty five (45) days prior to scheduled arrival. This payment may be made in the form of a mailed in personal check, eCheck, bank cashier’s check, Visa, Master Card, or Discover. No Money Orders.

Limited Security Deposit Waiver

A non-refundable Limited Security Deposit Waiver pays for a portion of accidental loss or damage that may occur during your occupancy. The purchase of the Limited Security Deposit Waiver is already included in the price. The Limited Security Deposit Waiver does not pay damage or loss that is not disclosed. To avoid erroneous blame, you are required to immediately notify our staff if anything is amiss when you check-in and arrive at the rental property. You must inform our staff if there have been any incidents of loss or damage that have occurred during your occupancy prior to, or immediately upon vacating the rental property.

The Limited Security Deposit Waiver does not replace or negate your responsibility for all members of your party as a primary renter. It does not pay for any act of intentional or negligent destruction, pet damage, re-keying, additional cleaning if the property is left excessively dirty, or other invoices associated with your rental that may be presented subsequent to your occupancy.

The Limited Security Deposit Waiver is offered, administered, and funded solely by Four Star Condo Services, LLC.

Red Sky Travel Insurance

Four Star Condo has partnered with Red Sky Travel Insurance to provide Sun Trip Preserver coverage for our guests. Sun Trip Preserver offers protection for trip cancellation and interruption, as well as emergency assistance and travel services. Protect yourself in the event of hurricane evacuations and family emergencies such as illness or death in the family. The Red Sky Travel Insurance can be purchased during the booking process or any time prior to the scheduled final payment (45 days prior to arrival). If the reservation is made within 45 days of the arrival date, Travel Insurance must be purchased at the time of booking. Policy is non-refundable after a 14 day grace period. All Red Sky Travel Insurance policies purchased at booking are automatically protected by the Pre Ex Waiver, which protects all guest and defined family members with any Preexisting Conditions! Red Sky Travel Insurance is not available to purchase once a specific storm is declared a hurricane.

Refundable Damage Deposit

If a $500 refundable damage deposit is required. It will be due 30 days prior to arrival paid by personal check or cashier’s check or paid in cash on arrival. We do not accept Money orders. This Refundable Damage Deposit is NOT applied toward rent; however, it is refundable within (21) days of departure, provided the following provisions are met:

A: No damage is done to the property or its contents, beyond reasonable wear and tear. (there will be a charge for repair and or replacement of these items equel to cost and delivery or service)

B: All debris, rubbish, and discards are taken out and placed in building trash recepticals (there will be a $75 charge for trash).

C: No soiled dishes or excessive cleaning (there will be a $75 charge for excessive cleaning)

D: No linens are missing or damaged (there will be a charge for replacement of these items equel to cost and delivery)

Cancellation Policy

There are NO REFUNDS issued for early departure, late arrival, or eviction. Guest who cancel less than 60 days from the day the reservation is made and more than 60 days prior to check-in will get 100% refund. Guest who cancel more than 60 days from the day the reservation is made and more than 60 days prior to check-in will lose their deposit. Guest that cancel within 60 days to arrival will not be entitled to a refund. Travel Insurance is strongly recommended to all guest for their own financial protection from unseen circumstances.

Reservation Modification Policy

Modification to the booking dates or property have to be made more than thirty (30) days prior to arrival for short term reservations and more than sixty (60) days prior to arrival for long term reservations.

If you are reserved for more than 28 nights, you may have special long-term rates. If you modify your dates to less than 28 nights, this will cause the rates to change to regular daily rates. As long as you maintain more than 28 nights your special long-term rates will not change.

Weather Policy

We do not refund for undesirable weather conditions such as tropical storms or marine phenomenon such as jellyfish. We only refund unusable reservation dates do to manditory evacuation by Panama City Beach Police.

If a Panama City Beach Police manditory evacuation order is issued, refunds will only be given for approved claims by Red Sky Travel Insurance if you have purchased coverage before the storm was declared a hurricane. Four Star Condo Services will not issue a refund of any payments due to a hurricane or storm. Red Sky travel Insurance is strongly recommended to all guest for their own financial protection. Units for Sale

In the event that the property which you are renting is on the market for sale, we may find it necessary to show the property during your stay. We will make every effort to schedule the showing at a convenient time so as to not interrupt your vacation. No refunds or compensation will be made for such showings.

Monthly Rental Reservations

Cancellations/changes must be made one hundred twenty (120) days prior to scheduled arrival dates. Cancellations/changes made over one hundred twenty (120) days prior to arrival will be charged $100. Cancellations/changes made within one hundred twenty (120) days prior to arrival will be charged $300.00. The monthly rate is for 30 days. We do not pro-rate the monthly rate for early arrivals.

Pets

Pets are permitted only in designated rental units with a $75.00 pet nonrefundable fee. Some Resorts have retrictions. Please check the pet restrictions prior to renting a pet friendly property. Otherwise, pets are not permitted in the rental unit or on the premises. No exceptions will be made. Guests found with a pet will be asked to leave with no refund of rent or security deposit and will be charged for a pest control treatment and a furniture & carpet cleaning. (Service Animals are exempt from non pet friendly units only. Emotional Support Pets are not exempt.)

Cleaning

Upon arrival if there are cleanliness issues, please contact our office; do not attempt to fix or clean yourself. We do not refund for the cleaning companies errors or shortcomings. We require the cleaning company to correct all their cleaning deficiencies. Upon departure do not leave any trash behind. We charge $75 for excessive cleaning and $75 for garbage.

Sight Unseen

Our vacation rental units are individually owned and furnished. We try to under sell and over deliver our properties; however, your ideas and ours might not agree on any given property. We will not give refunds or adjustments if it does not meet your idea of the property. We manage clean properties, which are furnished to the owner’s taste. There are no two properties with the same rates, description, and bed sizes. Inventories and furnishings are subject to change without notice. In the event of a break down, we strive to make repairs as soon as possible. Neither the management company nor the owner will be obligated to provide replacements nor give refunds for failure or absence of any item. Please understand once you have booked the unit it prevents anyone else and/or including the owner from using it.

Utilities

No compensation will be given for temporary outages of electricity, gas, water, or cable, internet or telephone service. Outages will be reported immediately and all efforts will be made to have them restored as soon as possible. The operation and maintenance of these utilities are out of the control of Four Star Condo Services LLC. Community Rules and Guidelines Additional guidelines, rules, and regulations may apply for rental units within structured communities. Due to occasional circumstances beyond our control, availability of elevators, swimming pools, hot tubs, and tennis courts are not guaranteed with any reservation.

Non-Smoking Units

All of our units are non-smoking. Smoking is strictly prohibited inside. Additional housekeeping charges of up to $250.00 will be applied for additional cleaning expenses if guest is found to be in violation of this policy.

Parking

Please park in designated areas only. Most resorts allow up to a maximum of two (2) vehicles per unit, and NO RV’s. Most owners provide at least one (1) free parking permit per rental. Some units charge for extra parking permits and some are free. Please read the parking instructions found in your Confirmation and make the proper arrangements before arrival. Registration Information is deemed reliable but not guaranteed. 

Condo Owner Associations/Home Owner Associations have meeting and change rules and regulations often. Four Star Condo Services, LLC. will not be liable for changes in COA or HOA rules not relayed to us.

Locked Closets

Some owners have a locked closet for their personal possessions. These closets are private and are not to be opened by tenants or guests under any circumstances. Braking into an owners closet is a felony and will be dealt with accordingly.

Items to Consider Bringing:

Additional toilet tissue, bath soap, paper towels, dishwasher soap, garbage bags, hair shampoo & conditioner, laundry detergent, foil, sharp knives, any special cooking utensils, coffee filters, beach towels, beach toys, and beach chairs.

What we Provide:Bathroom: 4 bath towels, 4 wash cloths, 2 hand towels, and 1 bath mats per full bathroom. 2 bars of soap per bathroom. 1 small shampoo & 1 small conditioner container per bathroom. 2 rolls of toilet paper per bathroom. 2 makeup removal packs and 1 black makeup removal towel per bathroom.   Kitchen: 1 roll of paper towels in kitchen. 1 kitchen dish towel, dish cloth, and pot holders. 3 Dishwasher packets. 2 trash liners per trash container.   Bedroom: 1 set of linen per bed consisting of a fitted and flat sheet and pillow cases. If sleeper sofa we keep a rolled up bundle of fitted and flat sheet and pillow cases stored near sleeper sofa. Blankets are often stored in the room closet.   Per property: Iron & ironing board, hair dryer. If in-unit washer and dryer we provide 1 laundry detergent packet.  

Guest should consider brining:Additional bath soap, shampoo, conditioner, toilet paper, paper towels, trash bags, laundry detergent, and makeup removal supplies. Aluminum foil, crockpot, rice cooker, beach towels, beach/pool toys, and beach chairs. A change of linens if needed. Guests should provide all meals.

Management Company Indemnity

Four Star Condo Services, LLC. will not be liable for any damages to rental property or furnishings, nor for injuries resulting from any accident that may occur in or on the premises during guest occupancy. Management is not liable for acts of theft, vandalism, or damages to the guest’s personal property or items left in the unit. We assume no liability for error or omissions.
